Who is KeyFolioHQ for?

KeyFolioHQ is administrative property-management software for independent landlords and small rental portfolios. It is not a tenant marketplace, property-management company, tenant-screening service, or full-service accounting firm.

What can I organize in KeyFolioHQ?

Depending on the plan, you can keep property and unit records, tenant and lease details, rent-payment records, expenses, repairs, contractors, receipts, reports, imports, and supported exports in one workspace.

Can I manage more than one rental property?

Starter is limited to one rental property. Pro, Platinum, and eligible legacy access support multiple properties. Review the pricing page for the current plan descriptions.

Money records and reports

Does KeyFolioHQ collect or process tenant rent?

No. You can record rent-payment status, dates, amounts, and balances based on information you enter. KeyFolioHQ does not receive, hold, transfer, or automatically reconcile tenant rent.

What expense details can I keep?

Expense records can include a property, date, amount, category, description, payee link, payment context, and supported receipt reference. You remain responsible for accuracy and for deciding the correct accounting or tax treatment.

Are the P&L reports accounting statements?

They are P&L-style operational reports built from records entered in the workspace. Recorded net is not a determination of taxable income, taxable profit, cash in a bank account, or compliance with an accounting standard.

What can I export?

Supported workflows provide CSV and print/PDF exports for selected records and reports. Exports may not include every field, file, relationship, or historical state, so keep independent copies of records you must retain.

Imports, repairs, and files

Can I import an existing spreadsheet?

Signed-in users can import supported CSV, XLS, and XLSX data for properties, tenants, expenses, and payment records. The mapping workflow lets you review columns before creating records. Import remains an authenticated workspace tool at /import.

What does repair tracking cover?

Repair records can connect status, priority, property or unit, contractor, costs, notes, invoices, receipts, and supported exports. KeyFolioHQ does not dispatch contractors or guarantee the work performed.

How are uploaded files handled?

Lease files use restricted signed access. Receipt and repair-image links currently use public URLs, so do not upload sensitive or legally restricted information to those fields. Review the Privacy Policy and Terms for current details.

Year-end review and billing

Does KeyFolioHQ prepare or file tax returns?

No. The Tax Center is a source-traceable review workspace for eligible plans. It organizes entered records and supported exports but does not prepare, file, e-file, send, or guarantee a tax return.

Does KeyFolioHQ file 1099s?

No. Eligible plans can prepare incomplete 1099-NEC and supported 1099-MISC drafts for review. Drafts are not filed, are not for IRS submission, omit taxpayer identification fields for completion outside the service, and require verification against current instructions and professional advice when appropriate.

Does creating an account start a subscription?

No. A paid subscription begins only after you choose a plan in an available checkout, review the price and renewal disclosures, and authorize payment through Stripe. New paid-plan enrollment may be unavailable at a given time even though account creation is available.
